Flock Together Co. Co-Working Space – Terms & Conditions

Effective Date: 7 November 2025

Welcome

These terms form the agreement between Flock Together Co. (“we”, “us”, “our”) and anyone (“you”, “your”) using our co-working space. This includes both casual hot desk bookings and ongoing memberships.

By making a booking, paying a membership fee, or accessing the space, you agree to these terms. If you have any questions, just reach out to us at [email protected].


1. Options

1.1 Casual passes
Day and multi-day passes give you access during standard hours and include use of hot desks and shared facilities. Introductory rates apply only to a guest’s first booking. Standard rates apply thereafter. All prices include GST unless otherwise stated.

1.2 Memberships
Full-time and part-time membership options are available, with different access levels and desk allocations. Memberships are ongoing and billed monthly in advance.

1.3 Rates
Current rates are shown on our website or confirmed with you in writing.


2. Access

2.1 Casual passes
Standard hours are Monday to Friday, 8:30am–5:30pm.

2.2 Members
Extended access may be available, currently via key as determined by us.

2.3 Keys and fobs
Keys/fobs remain our property and can’t be copied or shared. If you’re given one, a key bond applies and we’ll ask for photo ID. Lost or unreturned keys/fobs may incur charges.

2.4 Guests
Guests are welcome for genuine business purposes (like a client meeting), but otherwise access is just for members.

2.5 Out-of-hours security
If you have access outside normal hours, you’re responsible for making sure the space is safe and secure when you leave (lock up, switch off lights and air-con, and make sure no one else is left inside).


3. Desk Use

3.1 Casual passes
Hot desks are first-come, first-served.

3.2 Members
You’ll have your own dedicated desk.


4. Facilities

4.1 What’s included
All users can enjoy the kitchenette (with tea and coffee), Wi-Fi, and shared areas.

4.2 Meeting rooms
Meeting rooms and other facilities may be available — just check first.

4.3 Fair use
Kitchen and shower facilities are for everyone’s use on a fair and reasonable basis. If usage becomes excessive or drives up costs, we may need to chat about adjusting terms.


5. Using the Space

5.1 Respect & noise
Be considerate: use headphones for music, keep calls at a reasonable level, and use meeting rooms or step outside for longer ones.

5.2 Clean & tidy
Leave desks and shared areas clean. Please return dishes and clean up after yourself.

5.3 Storage
Hot desk bookings don’t include storage — please take your belongings with you at the end of the day.

5.4 Food & drink
Enjoy your meals in the kitchen or other designated areas. Please be mindful of strong-smelling foods in the shared workspace — we’d like to keep the space comfortable for everyone.

5.5 Parking
Please park on the street and do not park within the unit blocks' spaces.

5.6 Positive community
We want this to be a safe and welcoming space. No harassment, discrimination, or behaviour that negatively impacts others.

5.7 Internet use
Wi-Fi is for lawful purposes only. Please don’t engage in activities that are illegal or disruptive to the network.


6. Payment & Renewals

6.1 Casual passes
Payment is due in full when booking.

6.2 Memberships
Memberships are paid monthly in advance by direct deposit or Stripe. They renew automatically each month. If you don’t plan to renew, please let us know at least a week before the end of the month.

6.3 GST
All prices include GST unless otherwise stated.


7. Cancellation

7.1 Casual passes
Cancel or reschedule up to 24 hours before your booking for a refund or credit. Within 24 hours, bookings are non-refundable.

7.2 Memberships
Memberships are flexible. If notice is given before the end of the month, your membership will simply finish at the end of that month.


8. Property, Safety & Insurance

8.1 Belongings
You’re responsible for your belongings. We can’t be held liable for loss, theft, or damage.

8.2 Insurance
If you have valuable equipment, you may want your own insurance.

8.3 Safety
Please report anything unsafe so we can fix it quickly.

8.4 Out-of-hours access
Members with out-of-hours access must make sure the premises are properly secured when leaving.


9. Termination

We may end a booking or membership if these terms are breached or behaviour negatively affects the space. Refunds for unused time may be offered at our discretion.


10. Unexpected Closures

If we need to close unexpectedly (e.g. for maintenance or safety), we’ll offer to reschedule or provide credit.


11. Changes to These Terms

We may update these terms from time to time and will let you know by email or in person. Continuing to use the space means you accept the updated terms.
